Out There Social Club

We lead technology for Out There Social Club, a free nonprofit social club with 400+ members. We built and run the app, website and services that help members get together and staff keep the club moving.

From WordPress to a member service

Out There brings people together for hikes, coffee runs and river floats. Members join group outings and log them with a group photo, while sponsors back approved activities. When we started, the club had a WordPress website and no apps. It needed a way to support both member participation and the staff work behind it.

We built the iOS app, available on the App Store since October 2025, along with a website that includes a member area and a staff portal. We also built and run the backend behind all three, connecting the member experience with the tools staff use to manage the club.

Both sides of an outing

Members can browse and request outings, submit a photo log, apply to host and sign up for the newsletter. The experience follows how people participate: find something to do, get involved and record the group’s time together.

Staff have the corresponding tools to review requests and photo logs, manage outings and roles, write newsletters and maintain a photo archive. We built these around the same process, so the work of organizing an outing and keeping its record happens within one system.

Fig. 1 · One photo log, from a member’s phone to staff review On the left, an iPhone shows the Log an Outing sheet with a group photo from a hike chosen and a Submit button. On the right, the staff portal in a browser shows the same photo log under Outing Logs, pending review with Reject and Approve buttons, beside sidebar links to the photo archive, the newsletter and outing management.

Rules that hold under use

Some important decisions sit behind the screens. Submission limits still hold when two photos arrive at the same moment. A rule should apply consistently, including when simultaneous requests would otherwise allow someone to submit more than the limit permits.

Deleting an account removes all of that member’s data. Staff changes are logged, giving the club a record of administrative actions. These are part of our ongoing responsibility as its technology lead: running the services members use and the tools staff depend on, with the club’s operating rules built into both.
